Our main products and services offer virtual voice assistants to businesses that need to communicate with multiple clients at the same time without losing the ability to offer an efficient, engaging and responsive customer experience.
Why do we have access to personal data?
All the personal data we process for our core activity (artificial intelligence solutions) derives from the interactions between our virtual voice assistants and the customers of our clients. Such data is only used to offer the service to the customer or to reply to the questions he.
As an AI product, our customers and their clients should be aware that each interaction with our virtual voice assistants entails its automatic development and enrichment, regardless of our intervention. While these changes derive from the use of personal data, Agentifai assures its customers and their clients that it does not keep any personal information beyond what is contractually stipulated.
What personal data do we collect?
All decisions on which personal data we collect depend on a prior evaluation of its necessity in light of the purpose for which they will be used.
To offer the best virtual voice assistant in the market, we need to process and collect the content of the conversations between the virtual voice assistant and the client that interacts with it. This will lead to the collection of the voice or the messages of the client (if any of the text or messaging platforms are used by the customers) while those interactions occur as well as its storage for predetermined periods of time.
During these conversations, personal data such as the name, identification, address, customer identification and phone number are collected to verify the customer and to enable access to the services, products or answers he seeks.
Other personal data, including special categories, may be processed depending on the nature of the business our clients operate.
Whom do we share personal data with?
We do not share personal data with any third parties unless there is a legal obligation to do so. In any case, Agentifai or the data controller will notify the disclosure of personal data under a legal obligation to the data subject unless such information is legally forbidden.
Nevertheless, we resort to other companies to process personal data on our behalf, namely cloud service providers (Google Cloud)), security (Cloudflare), documentation management (Altassian) or emailing (Zoho). These entities may change over time, but we will keep our customers and their clients duly updated.
How secure is personal data?
We follow strict internal protocols on how we manage personal data, applying a comprehensive set of rules on who may access that information, when they can access it and for what purpose. This means we have detailed logs of all the personal data processing that occurs.
We also apply state of the art encryption to all our products and services, whether in transit or at rest, to assure that no one besides our client has access to such contents.
Additionally, objective retention periods are applied, enabling the deletion of all information after a predetermined period. These periods may vary depending on the business that uses our services and products for which it is essential to read their own privacy policies and information provided as per article 13 of the GDPR.
We work together with our clients to minimise these periods and assure their customers that personal data isn’t processed beyond what is strictly necessary.
On our part, we apply anonymization procedures as soon as possible to avoid any potential conflicts with data protection rules.
Is personal data transferred outside the EU?
As a rule, we do not transfer personal data outside the European Union. If such transfers are regarded as necessary, we will review whether they may be carried inside the legal framework we are bound by and inform the client thereof. If not, we will refrain from doing so.

As our services and products are destined to be used by third parties in their own businesses, Agentifai rarely qualifies as a data controller. Nevertheless, we are deeply committed to assuring everyone that privacy is at the heart of our concerns, an integral part of all the technological solutions we develop and a valuable asset to the future of our company.
Workers data
As a controller, we process our workers personal data to perform the employment contract we agree upon but also to perform legal obligations mandated by public authorities.
Whenever a representative or worker of one of our customers or prospective customers is introduced to us and provides us with their personal data, we also collect, process and store their information for as long as it is relevant to the business both parties are pursuing but we do not use that information for other purposes.

We have a website (www.agentifai.com) where personal data processing may occur through the use of cookies, web beacons and similar tools or when online forms are submitted. Unless legally allowed and technically indispensable, we never install cookies or similar solutions into the user’s device without previously informing him and obtaining his consent.
Notwithstanding the possibility to manage cookie settings directly through any given cookies’ management tool we may implement, the user remains free to do so directly in the browser’s tools available

As a processor, we are bound by the contractual relationships that we agree with our clients and must follow the commitments they make to their own customers, i.e. the data subjects. In such circumstances, if a customer of any of the companies that uses our services and products is interested in knowing more about how their personal data is processed or how to exercise any of their rights, they should consult the information provided by those companies on these topics.

Although developing automated data processing through artificial intelligence, we never lose control of our clients’ customers’ data.
